Your information is collected for the purpose of adding your child to the Disabled Children and Young People’s Register to produce a ‘yellow card’ which will allow your child access to reduced rates for activities at participating leisure centres/providers within Brent, as required to fulfil the council’s duties under the following legislation, statutory or contractual requirement or obligation:

The Children Act 1989 | Every local authority shall open and maintain a register of disabled children within their area. The register helps us to plan and develop services for children and young people with disabilities in Brent. |
The categories of personal data that will be processed include Full Name, Address, Date of Birth, Gender, Ethnicity, First language, Telephone Number, Email, GP Name and Address, Child’s Special Needs. This will be for the purpose of the disability register and will be held until the child/young person turns 25, after which, the details will be removed from the system.
The information will be used primarily by the 0-25 Disabled Children & Young People’s Service (DCYP) to keep you up to date with information about appropriate services for your family.
However, as a secondary use, we may share anonymised information with other council teams and partner agencies, to help us jointly plan services.
Brent Council does not process your information with third countries outside of the UK or EU zone without the safeguards being in place that are equivalent to the Data Protection Act 2018 or the General Data Protection Regulations (UK GDPR).
You have a right to withdraw your consent at any time.
Brent Council shall process your information in adherence to your information rights under the Data Protection Act 2018 and the UK GDPR.
Brent Council is required by law to protect the public funds it administers. We may use any of the information you provide to us for the prevention and detection of crime. We may also share this information with other bodies that are responsible for auditing or administering public funds including the Public Sector Audit Appointments Ltd, National Audit Office, Financial Reporting Council, Cabinet Office, the Department for Work and Pensions, and other local authorities, HM Revenue and Customs, and the Police.
In addition to undertaking our own data matching to identify errors and potential frauds we are required to take part in national data matching exercises undertaken by the National Fraud Initiative. The use of data by the National Fraud Initiative in a data matching exercise is carried out under the Local Audit and Accountability Act, 2014. It does not require the consent of the individuals concerned.

The information will be shared with the 0-25 Disabled Children & Young People Service to enable them to register child/young person on the Disabled Children and Young People’s Register and process yellow card application. The information shall be retained up until the child/young person reaches the age of 25 and shall be processed in adherence to your legal rights, including but not limited to the right to withdraw consent, right to copies of your information and right to be forgotten. If you are dissatisfied with the processing of your information, you can raise your concern with the council’s data protection officer.
